Privacy Policy

1. Who We Are

Eatix ("we", "us", "our") runs a QR code ordering system for restaurants and food courts. This policy covers:

our website, eatixfood.com
the ordering app guests open by scanning a QR code (order.eatixfood.com)
the control panel restaurant teams use to manage menus and orders

When you order, you buy from the restaurant you order from. Eatix provides the system that takes your order and passes it to the restaurant. We protect your personal data in line with the General Data Protection Regulation (GDPR) and applicable Latvian law.

2. Data We Collect

If you order as a guest

Contact details First name, last name, phone number and email address. Which of these you need to give depends on the venue.
Phone confirmation If the venue requires it, we send a one-time code by SMS to confirm your phone number.
Order details What you order, your choices and notes for the staff (for example allergies or preferences), table number or pickup choice, order time and status, the amount paid and any tip you add.
Invoice details Only if you ask for an invoice for your company: company name, registration number, VAT number and the email address the invoice should go to.
Reservations Only if the venue offers them and you book: name, phone number, date, time, number of guests and your note.
Reviews Only if you leave one: your rating and comment. You can choose to post anonymously.
Notifications Only if you allow them in your browser: a technical subscription that lets us send you updates about your order.
Payment data Card payments are handled by Stripe. You enter your card details in Stripe's secure payment form, so they never reach our servers.
Usage data Only if you tap Accept in the ordering app's cookie notice: how you use the app, such as the pages you view, clicks and scrolling, and information about your device and browser.
Visit statistics Only if you tap Accept: which restaurant pages you open (menu or checkout), how you arrived (for example through a QR code), your language, and a one-way coded identifier made from your IP address and browser details. This lets us count unique visitors without storing your IP address.

If you run a restaurant on Eatix

Account data Login details for the people on your team who use the control panel.
Business data Business name, address and contact details, menus, prices, photos and settings, and the orders your venue receives.

Everyone

Server logs IP address, browser type and the pages requested, recorded by our servers when you use any of our websites.
Messages to us If you contact us by email or WhatsApp: your message and the contact details you use.

3. How We Use Your Data

To pass your order to the restaurant and process your payment
To confirm your phone number when the venue requires it
To show you the status of your order and, if you allow it, notify you about it
To issue an invoice when you ask for one
To handle reservations and reviews where the venue offers them
To provide and support the control panel for restaurant teams
To keep the platform secure and working, and to fix problems
To understand how the ordering app is used and improve it, only if you tap Accept in the cookie notice
To comply with legal obligations, such as accounting rules
To send marketing communications, only with your explicit consent

Legal bases: Contract performance (orders, payments, invoices, reservations), Legitimate interests (security and keeping the platform working), Consent (notifications, marketing, analytics in the ordering app), Legal obligation (accounting and other legal requirements).

4. Who We Share Data With

We share personal data only where it is needed to run the service:

The restaurant you order from: receives your order and the details it needs to prepare it and hand it over
Stripe: payment processing (PCI-DSS certified)
Sendberry: sends the SMS codes used to confirm phone numbers
Email service provider: delivers invoices and other emails about your order
Your browser's push service: delivers order notifications, only if you turn them on
Hosting provider: the servers that run Eatix
Google (Google Analytics): statistics on how the ordering app is used, only if you accept analytics cookies
Microsoft (Microsoft Clarity): recordings of how the ordering app is used (clicks, scrolling, pages), only if you accept analytics cookies

Some of these providers, such as Stripe, Google and Microsoft, are based in the United States and may process data there. Where they do, they rely on safeguards recognised under GDPR, such as the EU-US Data Privacy Framework or the European Commission's standard contractual clauses.

We do not sell your personal data to anyone.

5. Data Retention

Order data is kept for 3 years for accounting purposes. Account data is kept for as long as your account is active. Analytics data is kept by Google and Microsoft for a limited period, as set in our Google Analytics and Microsoft Clarity accounts. Our own visit statistics are kept for as long as they are needed to produce these statistics. You can ask us to delete your data at any time (see Section 6).

6. Your Rights (GDPR)

Under GDPR, you have the right to:

Access: get a copy of your personal data
Rectification: have inaccurate data corrected
Erasure: have your data deleted ("right to be forgotten")
Restriction: ask us to limit how we use your data
Portability: receive your data in a machine-readable format
Objection: object to processing based on legitimate interests
Withdrawal of consent: at any time, without affecting earlier processing

You also have the right to complain to the Data State Inspectorate of Latvia (Datu valsts inspekcija).

7. Cookies

We use essential cookies and similar browser storage to run the service. In the ordering app, analytics cookies are only used if you accept them. For details, see our Cookie Policy.

8. Language Versions

This policy is available in several languages. If a translation differs from the English version, the English version applies.

9. Changes to this Policy

We may update this policy from time to time. The "Last updated" date above shows when it last changed. Continued use of Eatix after changes constitutes acceptance.
